Start with a trusted source
Choose the HR employee master as the source of truth where possible. Use employee code and work email as primary matching keys because names alone can be inconsistent.
Find inactive accounts
Compare active employees with Gmail, Zoho or other mailbox dumps. Flag mailboxes assigned to inactive, resigned or unknown users for review.
Detect duplicates
Group duplicate employee codes, repeated emails and name variations. Duplicates should be reviewed before using lookup formulas because a lookup may return only the first match.
Prepare action sheets
Separate records into keep, update, investigate and remove categories. This makes the output useful for HR, IT and management review.
